Four functions that lived in four places now live in one compliant system.

Before

  • Intake, documents, changes and records spread across separate tools
  • Case paperwork produced by copying the last one and editing
  • The history of a record held in people's memories and inboxes
  • Compliance checked after the fact

After

  • One CRM: intake, documents, change management and records
  • Documents generated from the case data
  • Every change logged, with who, when and what
  • Compliance built into the scope: auditable by design

As an FCA regulated business, we needed someone who understood our field and could deliver a fast, simple and compliant custom CRM with document automation to match. Henry delivered on every count. Thousands of hours have been saved, and we can't thank him enough. We're going to get HG.Studio to do our website next.

What sits behind the drawing.

Intake
New clients and claims captured once, in a structured record, instead of across email, spreadsheets and paper.
Documents
Letters, packs and case paperwork generated from the case data, not copied and pasted from the last one.
Change management
Every change to a record logged, with who, when and what, so the history is on the system rather than in someone's memory.
Records
Client, claim and document records held together and retained to the firm's compliance requirements.
Survived compliance

FCA-regulated environment: intake, generated documents, change management and records held in one auditable system, retained to the firm’s obligations. Scoped with the compliance requirements in the room, not bolted on.

Henry led the build and remains the accountable name.

You deal with the person responsible from the discovery call through to the care plan. The bench is attached per build, sized to the scope, and named in the contract.

Questions, answered.

Why are there no screenshots?
The system is private and the client is FCA-regulated. Everything on it is a real person's claim. The drawing on this page names the four modules and pixelates every value; the facts around it come from the director's approved testimonial and the scope as built.
What does FCA-aware mean in a CRM?
It means the compliance requirements were part of the scope, not an afterthought: intake, documents, changes and records are held in one auditable system, changes are logged, documents are generated from the record rather than edited by hand, and retention follows the firm's obligations. Henry spent eight years inside an FCA- and SRA-regulated legal services group rebuilding its document and data systems, which is where that scoping instinct comes from.
What does a system like this cost?
Bespoke CRMs, portals and internal systems start from £8,000 +VAT; a build of this shape is typically £12,000 to £30,000 and is scoped individually after a paid discovery (from £1,500, credited in full against the build). Every proposal states the hours the current process costs above the price.
Do you build for other regulated businesses?
Yes: accountants, small legal and claims firms, clinics. The entry point for most is Intake & Documents (drafting, intake and admin, reviewed by you) from £4,000 +VAT, with the Systems Audit at £1,200 as a first step if you want the findings costed before committing to a build.
